2. Measure the actual installation space

4. Plan timing, transport, and assembly
Share the event date as well as the date the venue is available for installation. Allow time for receiving, checking, and assembling the display before guests arrive. Production timing depends on confirmed specifications and scheduling; enquire rather than assuming immediate availability.
Confirm what arrives assembled, what requires setup, and whether special equipment or additional people are needed. Discuss pickup or delivery, packaging, vehicle access, and transport charges with the team. 5. Make storage part of the plan
If the display will be used again, choose a storage area before the event ends. Ask which parts can be dismantled, how to protect finished surfaces, and what conditions are appropriate for storage. Do not assume flat-pack storage is included unless it has been confirmed for the product supplied.
Label components and retain the assembly instructions. After the season, inspect the pieces, document any damage, and address repairs before the next installation. This makes future setup easier and helps prevent missing parts.
